For accountancy practices
Client intake and chasing for accountancy practices, done for you
Most practices lose hours every week to the same jobs: answering "how much for a tax return?", collecting ID for new clients, and chasing records before deadlines. We build AI that handles the routine part inside the tools you already use. Anything that needs a professional's judgement goes to a person on your team.

Where practices lose time and enquiries
Quote requests that sit in the inbox
Someone asks what a self assessment or a set of company accounts would cost. By the time a partner replies, they've asked two other firms.
New client onboarding by email
Engagement letters, ID and proof of address for your AML checks, UTRs, previous accountant details. Each new client takes a string of emails to set up.
Chasing records before every deadline
Bank statements, receipts, payroll changes. Somebody chases the same clients every month, and it gets worse in January. With Making Tax Digital for Income Tax now in force for sole traders and landlords over £50,000, there are more quarterly deadlines to chase.
The same questions, every week
"When is my return due?" "Do I need to register for VAT?" Your team answers them by hand when they could be doing billable work.
What we automate for practices
Enquiries answered and sorted
An assistant on your site answers common questions from your own services and fees, and sends each enquiry to the right person with the details filled in.
Guided quote requests
A short form asks the questions you'd ask, such as turnover, entity type and the state of their bookkeeping, so you can quote without a back-and-forth.
Onboarding packs
Once a client says yes, the engagement letter, ID request and welcome email go out, and their documents are collected in one place for a person to review.
Record chasing
Polite reminders with an upload link go to clients whose records are due, and stop once they've sent them.
A weekly summary
New enquiries, who's waiting on what, and which clients still owe records.
What we don't do
We don't carry out AML checks. We collect what your team needs to do them, and the decision stays with you.
A practice we built this for
Accountico is a UK chartered accountancy firm. New clients asked about tax and accounts by email, and every enquiry took several messages before work could start.
We built them a new website with clear service options, a short enquiry form that collects the right details up front, a WhatsApp option on mobile and a client portal login. Their site assistant now answers common questions about bookkeeping, VAT and payroll, and hands anything else to the team. Enquiries now arrive with the details the team needs.
Your website, accessible and easy to contact
Clients find accountants on their phones, often in a hurry. We make sure your contact and quote forms work on a phone, with a keyboard and with a screen reader, tested to WCAG 2.2 AA.
If your site needs more than that, our Accessibility & Conversion Sprint fixes it in the code.

Questions from practice owners
How much does AI client onboarding cost for an accountancy practice?
AI enquiry handling starts at £1,500, then £150 a month. Intake automation, which covers quote forms, onboarding packs and record chasing, starts at £2,500. Most practices start with one and add the other later. Every price is fixed and agreed in writing.
Will it work with our practice management software?
Usually, yes. We connect to your email, your website forms and the software you already use for clients and documents, rather than replacing it. If something can't be connected, we tell you before you pay anything.
Can it handle AML and ID checks?
It collects what you need, such as ID, proof of address and company details, and puts it in front of a person on your team. The check itself, and the decision, stay with your team.
Will clients know they're dealing with an assistant?
Yes. The assistant says what it is, answers only from your own information, and hands the conversation to a person when a question needs one.
How long does it take to set up?
AI enquiry handling is usually live three weeks after you say yes, and Full AI Intake in four to six weeks. Tell us your busy periods and we'll plan go-live around them.
